Department Overview

The Contract Administration, Reporting & Governance team provides contract administration support for Gas Operations, Diablo Canyon Nuclear Power Plant and Customer facing programs, and Electric Operations. In addition to processing invoices, ensuring costs are booked accurately and paying our contractors in a timely manner, these teams also serve as liaisons with our Functional Areas, Suppliers, Sourcing and Finance organizations. The Governance & Reporting team is responsible for Contractor Execution Scorecards, infusing the Enterprise with a broad understanding of financial/budget management via reports, training and creating short financial acumen videos. Together, these teams act as the nexus between our field operations and the enterprise teams/systems.

 

Position Summary

The Operations Specialist provides contract administration support to business units within Customer & Enterprise Solutions and Engineering, Planning and Strategy that opt into our service. Key objectives are to efficiently create and modify purchase requisitions for new contracts and change orders and perform contract closeout activities once work is complete, ensure accurate and timely recording of liabilities via accrual posting and invoice validation and payment processing, collaborate with internal clients to streamline contract administration and support business needs, and be proficient with contract administration tools and systems (e.g., Ariba and SAP). The Operations Specialist is a subject matter expert in internal procurement processes, ensures supported business units comply with company-wide policies and procedures, and develops and delivers trainings to internal clients as necessary. May also drive development of new contract management resources.

 

This position is hybrid, working from your remote office and your assigned work location based on business need. The assigned work location will be within the PG&E Service Territory.

PG&E is providing the salary range that the company in good faith believes it might pay for this position at the time of the job posting. This compensation range is specific to the locality of the job.  The actual salary paid to an individual will be based on multiple factors, including, but not limited to, specific skills, education, licenses or certifications, experience, market value, geographic location, and internal equity.  Although we estimate the successful candidate hired into this role will be placed towards the middle or entry point of the range, the decision will be made on a case-by-case basis related to these factors.​

 

A reasonable salary range is:​

Bay Area Minimum: $​75,000

Bay Area Maximum: $​113,000

&/OR​

California Minimum: $​71,000

California Maximum: $107,000

 

Job Responsibilities

  • Completes assignments of moderate scope and complexity. Exercises judgment by selecting from different methods, approaches and tactics.
  • Creates, modifies, and closes out purchase requisitions in Ariba.
  • Monthly invoice validation and processing and accrual posting for assigned contracts.
  • Frequently communicates and collaborates with internal clients. Attends department meetings.
  • Develops internal work procedures and initiates process improvements that support contract lifecycle management.
  • Serves as a liaison between contract managers and Sourcing.
  • Conducts research and data analysis; utilizes system and other resources to successfully address inquiries from internal business partners and/or management.
  • Serves as a subject matter expert for contract managers in contract related tools and systems such as Ariba and SAP.
  • Develops and manages trainings for internal clients to enhance knowledge of policies and procedures.
  • Full understanding of internal business partner functions and tools and resources to ensure contract managers have adequate information to make business decisions.
  • May gain expertise and serve a particular niche where they are depended upon by other people to provide insight/feedback.
  • Communicates with peers inside and outside of the department exchanging ideas or gathering information.
  • Actively participates on cross functional teams to develop new products and/or improve processes.
  • Receives little instruction on day-to-day work and general guidance on new assignments.
  • Uses advanced problem-solving skills.

 

 

Qualifications

Minimum:

  • Bachelor’s degree in Business, Marketing, Communications or related field or equivalent experience
  • 3+ years of related experience or equivalent
  • Valid CA drivers license required
  • Travel required 10% of the time.

 

Desired:

  • Contract management or contract administration experience
  • Accounting or financial management experience
  • Possesses and demonstrates a full working knowledge of the contract management lifecycle 
  • Demonstrated ability to participate in multi/cross-functional teams in a matrix environment
  • Communications across functions. Can provide input and direction to team members
  • Full understanding of MS Office
  • SAP
  • Ariba
