Department Overview

The Land and Environmental Management organization is a team of professionals dedicated to providing integrated, company-wide environmental leadership, project support and compliance management services, as well as promoting environmental stewardship of PG&E’s properties and associated natural resources. The team includes Environmental Remediation, Environmental Management and Programs, Land Management and General Counsel Risk and Compliance.

 

Position Summary

This position will report to the senior director of Environmental Management.  This role also provides some administrative support to the extended Environmental Management team, include several directors.

 

Job Responsibilities

- Calendaring, Scheduling and Meeting Logistics: Manage and prioritize calendar. Arrange ongoing/recurring as well as ad hoc meetings and conference calls.   Schedule conference rooms set up audio visual or on-line meeting tools and events. Coordinate and ensure meeting logistics are in place, including for Town Halls/All Employee Calls. Reschedule appointments. May greet and escort parties to scheduled meetings. 

- Written and Oral Correspondence: Compose, proofread, edit and format written correspondence, agendas, and documents for signature. Assist with phones, phone screening, oral contacts and communications, take phone messages. Utilize polished professionalism and communication skills while serving as liaison on behalf of the leader(s) or department. 

- Refer /Delegate / Track Questions, Actions and Issues: Refer or delegate business issues or questions to others for resolution on behalf of leader or team. Follow up to ensure issue or question status and resolution. Track action items using a follow-up system, tool or process, communicate and report on status.

- Documentation, Records Management and Filing: Prepare or assist in preparing documents, reports, presentations, meeting materials, documents for signature. Prepare copies, work with Reprographics, and arrange materials. Process and distribute mail.  Maintain a records management system, including efficient filing system, document storage.  Maintain Sharepoint.

- Coordinate Travel and Events: Handle all travel related aspects for individuals and groups. Arrange conference facilities and catering. Manage logistics for travel, group and events arrangements. Create detailed itineraries. Audit/monitor for adherence to corporate travel guidelines.

- Office Supplies and Equipment Ordering: Order and maintain an inventory of items required. Order new equipment or schedule service/maintenance.

- Prepare Invoices, Purchase Orders, Expense Reports, Budgets: Assist with processing of invoices, purchase orders/requisitions & expense reports. Manage commercial card usage and reconciliation of statements. May monitor department budgets, costs. May monitor adherence to expense report policy. May include credit card administration. May maintain subscriptions, memberships. May process check & wire transfer requests. May prepare and distribute invoices, request payment.

- Expense Reporting: Assist with processing of expense reports.  Provide support to account team on invoices, purchase orders/requisitions as needed. Manage P-Card and corporate card usage, and reconciliation of statements.

- HR, Compliance Training, and Building and Asset Related Tasks: Handle HR related administrative tasks including time reporting, organization change requests, pay change requests, rewards and recognition forms, organization chart updates, and emergency lists.  Assist with onboarding of new employees, including the ordering of LAN ID and technology assets. Monitor and track staff participation in required training, reading or action including safety and compliance. Complete building services requests. Assist in coordination of office space planning. Assist with off-boarding employees.

- Other Tasks:  Create, assemble, modify, proofread presentations, spreadsheets, reports; manage data, metrics tracking and reporting, report creation and execution, and backup; make facilities-related requests; assist with safety-related duties (such as floor warden and ergo tasks); and support to other executive assistants

 

 

Qualifications

Minimum:

- High school diploma or GED

-4 years of administrative support experience, 1 or more years of experience supporting Director level preferred.

 

Desired:

- Experience supporting director level or higher executive

- Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Internet Search, and Ariba

- Demonstrated ability to work effectively in collaborative environment

- Ability to use discretion and judgment in dealing with sensitive or confidential information

- Bachelor’s or Associates degree

- Strong oral and written communication skills

- Strong interpersonal skills

- Possess a high degree of professionalism and work ethics

- Strong attention to detail

- Demonstrated ability to manage multiple tasks efficiently, prioritize work, and manage time to meet deadlines

- Flexible and open to change

- Resourceful
