Department Overview

In Customer Care, we are focused on delivering the desired customer experience for each of our customers. Everything we do starts with the customer and our information about the customer.  Within Customer Care, PG&E’s Customer Energy Solutions department (CES) is responsible for designing, implementing and administering customer demand side management programs, including energy efficiency, distributed generation, demand response, and rate programs that help PG&E customers in Northern and Central California manage the energy use of their homes and businesses.  PG&E has been a national leader in energy efficiency since 1976 and continues to recruit and develop individuals to carry the CES Department’s legacy of effective energy efficiency programs on into the future.

 

Position Summary

Operations Specialists provide operational support to the EE Portfolio Management team, focusing on activities that may be most efficiently performed by a centralized process and/or central point of contact.  In these duties Operations Specialists will have ownership of critical operational processes, be responsible for providing training to team members, and initiate and execute process improvements.  Three major focuses of this role are:

  • Operational Excellence: Supports the more efficient delivery of energy efficiency programs, and helps ensure PG&E continues to be an effective administrator of EE programs
  • Compliance: Ensures vendors, partners, and program managers are following required policies and processes, and that data quality is sound and required supporting documents are retained accordingly
  • Budget Control: Support budget forecasting, monitor variances, and support continuous improvement

Specific Responsibilities Include:

 

Financial

  • Online Validation Checklist: Complete online form and attach all required documents (invoice, supporting docs, and DOA email approvals)
  • Goods Receipts: Post GRs once online checklist is completed and document entries to corresponding validation checklist sharepoint form
  • Accruals: Post and manage accruals
  • Forecasting: Work closely with assigned team(s) and Program Managers to understand cost to assist in forecasting entries
     
    Contract Management
  • Contracting Support: Manage and support the contracting process for the team, including acting as the liaison between Sourcing, PMs, and vendors/partners for new and existing contracts
    • New and Change Order requests
    • Fund transfers
  • Ariba Entries: Generate and manage request in Ariba from start to finish and ensure all documents required are uploaded into Ariba
     
    Audits
  • Internal, External and Operational Audit Support: Act as the primary point of contact. Ops Specialists will facilitating the collection, review, and submission of required documents and information
    • Risk & Compliance, Regulatory Affairs, etc.
    • CPUC
  • Record Management: Ensure that records related to invoicing, contracts, invoice checklist, invoice approvals, accruals, deliverables, and other critical records are kept on file and in an accessible location
     
    You will support department and/or line of business system needs, identify and implement process and system improvements, manage communications, coordinate and deliver trainings for essential business procedures/processes, and drive development of new resources and tools.
     
    General Responsibilities:
    Manage communications
  • Develop internal work procedures and initiate process improvements
  • Assist management with the leadership of key department initiatives such as system development, training and focused campaigns/initiatives
  • Liaison between various departments and cross functional teams
  • Influence decisions, providing recommendations for change that will lead to the success of company goals and cost effectiveness
  • Research and data analysis; compile and prepare reports for upper management
  • Utilize system and personnel resources to successfully address inquiries from internal business partners
  • Support organization as a subject matter expert by providing information and direction to resources through various delivery channels
  • Develop and manage trainings to enhance knowledge and job skills
  • Participate on cross functional teams

 

 

 

Qualifications

 Minimum:

  • Bachelor’s degree in Business, Marketing, Communications or related field or equivalent work experience
  • 3 years of forecasting, audit, compliance, and/or data analysis/management experience
